We collect the information we need to run the Ambassador Program. We do not sell your contact information or any other personal information, and we do not share it with third parties for their own marketing or for targeted advertising.
Who We Are and What This Policy Covers
This Privacy Policy explains how Brookwood Properties (“The Storage Center,” “we,” “us,” “our”) collects, uses, shares and protects personal information from applicants and participants (“Ambassadors,” “you”) in The Storage Center Ambassador Program (the “Program”), including through the Program application, and our communications with you. It works alongside the Program Terms and Conditions. If you are also a customer with The Storage Center, our general Privacy Policy covers your rental account.
The Program is open only to residents of the United States who are 18 or older. We are based in the United States, and we store and process Program information in the United States.
Information We Collect
The table below shows what we collect and why. Where the information comes from is described in the next section.

We only collect Social Security or taxpayer ID numbers when needed for tax reporting, and we do not ask for them until you request a redemption. We do not collect biometric information, and we do not use facial or voice recognition on Content.
Where We Get Information
- From you. When you apply, submit Content, fill out forms (including your W-9), sign or upload releases, and message us.
- From social media platforms. From your public profiles and posts, and from performance data for your Program posts. We collect this by reviewing posts directly / through [ANALYTICS OR SOCIAL LISTENING TOOL] / from screenshots or reports you provide.
- Automatically. Through cookies and similar technologies when you use [the Program portal / forms] or open our emails (see “Cookies and Similar Technologies” below).
- From service providers. Such as confirmation that a gift card was delivered or redeemed.
- From other people. When someone who appears in your Content signs a release, or a parent or guardian signs one for a minor.
How We Use Your Information
We use personal information to:
- Review applications and confirm you meet the eligibility requirements.
- Communicate with you about the Program, including approvals, feedback, points and rule changes.
- Track, award and adjust points, and deliver gift cards.
- Review, edit, publish and promote Content as allowed by the Program Terms.
- Meet tax, legal and record-keeping obligations.
- Prevent fraud, enforce the Program Terms and protect the safety of our facilities, customers and staff.
- Understand how the Program is performing and improve it.
If we want to use personal information for a purpose that is materially different from those listed here, we will update this Policy and, where required, ask for your consent first.
Email and Text Messages
If you provide your email address, we will email you about the Program. If you provide your mobile number you agree to receive texts, we will send you text messages about the Program, such as application status, Content approvals, points and rule changes. We use your email and phone number only for Program correspondence, not for unrelated marketing. We may send you messages needed to run your participation, such as notices about your points, redemptions or changes to the Program Terms.
Cookies and Similar Technologies
The Ambassador Program portal / forms and our emails use cookies and similar technologies, such as pixels and web beacons. A cookie is a small file stored on your device. Some cookies are deleted when you close your browser (“session” cookies), and others stay on your device until they expire or you delete them (“persistent” cookies). We use them to:
- Keep the site working. Essential cookies let you sign in, submit forms securely and prevent fraud. The site cannot work properly without them.
- Remember your choices. Functionality cookies remember settings such as your login details.
- Understand usage. Analytics cookies tell us how people use the portal, so we can fix problems and improve it.
- Measure emails. Pixels in our emails tell us whether an email was opened, so we know our Program updates are reaching you.
We do not use cookies or similar technologies for targeted or cross-context behavioral advertising.
Analytics and Other Tools
We use [Google Analytics / NAME OF ANALYTICS TOOL] to understand how people use [the Program portal / forms]. [Google] processes this data under its own privacy policy at [URL]. You can opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on at [URL]. We also use [FORM PROVIDER / EMAIL PLATFORM / SMS PLATFORM], which may set their own cookies to provide their services.
Your Cookie Choices
Most browsers let you block or delete cookies in their settings. If you block essential cookies, parts of The Ambassador Program portal / forms may not work. Blocking images in your email program will stop email pixels from loading.
Do Not Track and Global Privacy Control
Some browsers send “Do Not Track” signals. Because there is no common standard for these signals, our site does not currently respond to them. Since we do not sell or share personal information for targeted advertising, there is nothing for a Do Not Track signal to switch off. [If your browser sends a Global Privacy Control (GPC) signal, we treat it as a request to opt out of any sale or sharing of personal information for that browser.]
We Do Not Sell Your Information
We do not sell, rent or trade your contact information or any other personal information to anyone, for money or anything else of value. We do not share your personal information with third parties for their own marketing or for cross-context behavioral (targeted) advertising, and we have not done so in the past 12 months. This applies to current and former Ambassadors and to applicants who are not accepted.
We use Social Security and taxpayer ID numbers only for tax reporting and other purposes required by law, and we do not use any sensitive personal information to infer characteristics about you.
When We Share Information
We share personal information only in these limited cases:
- Service providers. We use companies that help us run the Program, such as our gift card fulfillment provider, [email and text messaging platform], [form or portal host], [cloud storage provider] and [analytics provider]. We give them only the information they need to do their work. Our contracts require them to keep it confidential, protect it, and use it only to provide services to us, and not for their own purposes.
- Our affiliates. Companies under common ownership or control with Brookwood Properties that help operate The Storage Center may access Program information to support the Program. They must follow this Policy.
- Tax authorities. We report payments to the IRS and state tax agencies as required by law.
- Legal and safety reasons. When required by law, subpoena or court order, or when we believe in good faith that disclosure is needed to protect the rights, property or safety of The Storage Center, our customers, Ambassadors or others, or to investigate fraud or violations of the Program Terms.
- Business transfers. If The Storage Center is involved in a merger, acquisition, financing or sale of assets, Program information may transfer to the new owner. The new owner must honor this Policy, and we will notify you before your information becomes subject to a different privacy policy.
- Publicly, through Content. As described in “Your Content Is Public” below.
- With your permission. In any other case, only with your consent.
Your Content Is Public
Videos are made to be published. When we or you post Content, your name, handle, image and voice as they appear in it will be visible to the public and may be reshared by others. As described in the Program Terms, The Storage Center owns the Content and may keep using it after you leave the Program. Deleting your personal information does not remove Content that has already been published. We will not publish your contact details, address or tax information alongside Content.
People Who Appear in Your Videos
Before submitting Content that shows another person, you must get a signed release from them (or from a parent or guardian for a minor) as required by the Program Terms. We use the information in releases only to confirm permission and to keep records. People who appear in Content can contact us using the details below with privacy questions or requests.
Social Media Platforms and Other Websites
When you post on TikTok, Instagram, YouTube, Facebook or any other platform, that platform’s own terms and privacy policy govern what it collects and how it uses your posts and account. Our communications and portal may also link to other websites. We do not control and are not responsible for third-party platforms or websites, and we encourage you to review their privacy policies.
How Long We Keep Information
- Account and contact information: while you participate and for [2] years after your participation ends.
- Tax records: for as long as tax law requires, generally at least 7 years.
- Declined applications: up to [12] months, then deleted.
- Content and signed releases: for as long as we use the Content, plus [3] years.
- Technical and usage data: up to [13] months, unless we need it longer to investigate security issues or fraud.
We may keep information longer when needed to resolve disputes, enforce the Program Terms or meet legal obligations. When we no longer need information, we delete it or de-identify it so it can no longer be linked to you. We keep de-identified information only in de-identified form and will not try to re-identify it.
How We Protect Information
We use reasonable administrative, technical and physical safeguards. These include limiting access to Program staff who need it, storing tax information separately with restricted access, [encrypting tax information in storage and in transit], and requiring service providers to protect the information we share with them. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please use strong passwords and tell us right away if you believe your information has been compromised. If a security breach affects your personal information, we will notify you as required by law.
Your Choices and Rights
- Update your information at any time by contacting us.
- Request access, correction or deletion of your personal information by contacting us. Some information must be kept for legal or tax reasons, and deletion does not undo the Content ownership described in the Program Terms.
- Request a copy of your personal information in a portable, commonly used format.
Depending on where you live, state privacy laws may give you additional rights. These may include the right to know what we collect and how we use and share it, to correct inaccurate information, to opt out of any sale, sharing or targeted advertising (which we do not do), to limit the use of sensitive personal information, and to appeal a decision about your request. We will honor those rights as required and will not discriminate against you for using them. Using your rights will not affect your eligibility, your points or your standing in the Program, except where deleting information we need makes it impossible to continue your participation, such as tax information required to issue gift cards.
How to Make a Request
Email us at [PRIVACY EMAIL], call [TOLL-FREE NUMBER], or [use the form at URL]. Tell us what you are asking for and include enough information for us to identify you. We will verify your identity by matching information you give us against what we have on file, such as your name, email and social media handle. We will never ask for your full Social Security number to verify a request.
You may use an authorized agent to make a request for you. We may ask the agent for signed permission from you and may still need to verify your identity directly.
We will confirm receipt within [10] business days and respond within 45 days. If we need more time, we may extend this once by up to another 45 days and will tell you why. Requests are free. If we deny your request, we will explain why. If you disagree, you can appeal by replying to our decision with “Appeal” in the subject line. We will respond to your appeal within the time required by law, and if we deny it, you may contact your state attorney general.
Age Requirement
The Program is only for people 18 and older. We do not knowingly collect personal information from anyone under 18, except as part of a signed parent or guardian release for a minor who appears in Content. If we learn we collected a minor’s information by mistake, we will delete it. If you believe a minor has applied to or joined the Program, please contact us.
Changes to This Policy
We may update this Policy from time to time. We will post the updated Policy at [URL] and change the “Last updated” date at the top. If we make material changes, we will also email active Ambassadors before the changes take effect. We will not use personal information we already hold in a materially different way without your consent where the law requires it. We encourage you to review this Policy periodically.
